The Senior Payroll and Benefits Co-ordinator is the first point of contact for general enquiries and customer queries for payroll and benefits. The postholder also manages all routine communications out of the team. This includes reminder emails and letters, contracts invoices and subject access data request
This role will support the People Management and Wellbeing Team and corporate plan to ensure excellent client service and satisfaction.
The Senior Payroll and Benefits Co-ordinator provides efficient and confidential payroll administrative support and systems administration. This is a varied role that will require ability to understand how to operate in a fast paced centralised People/Payroll department.

Main Responsibilities
- Dealing with day-to-day payroll processes including the administration of civil service pensions and salary sacrifice schemes
- Running initial reports and monthly payroll’s reports - interface and non-interface files
- Working with the systems team to identify opportunities for improved management reporting through better use of systems
- Sending the files to the outsourced payroll provider on a monthly basis
- Providing system and data administration services of HR Systems (maintaining employee records) ensuring that data is accurate
- Solving payroll queries from employees and external stakeholders
- Dealing with overpayment issues and contacting employees to recover overpayment
- Administrating cycle to work scheme and childcare vouchers (sending monthly invoices to the finance)
- Administrating monthly Sodexo employee benefits programme
- Reviewing payroll changes, new starter’s and leaver’s details, sickness as part of the validation checks
- Crosschecking employee’s payslips by ensuring that employees are paid correctly and on time.
- Provide effective Payroll Helpdesk to support colleagues with pay and tax enquiries, statutory payments and other voluntary contributions and / or deductions,
- Identifying risk and esculation these to the Payrol and Benefits manager as needed.
- Supporting the wider HR network with payroll queries and provision of pay and sickness related reports
- Ensuring all other payroll administrations processes are carried out
- Working alongside the outsourced payroll team to answer their queries and ensuring that the output data is accurate
- Advising employee’s/new joiner’s on pension queries – updating employee’s previous pension history on People Management systems.
- Administrating online payslip access
- Providing administrative support for pension provisions ensuring that data is accurate and maintained and new starts receive pension packs
- Liaising with MyCSP regarding employee’s previous history within civil service (running pension calculations, saving on TRIM and updating People Management systems.
- supporting the system team in indentifying improvement opportunities to ensure that our processes and systems are as effective as possible
- Supporting systems team, helping with annual leave queries, People Management systems password reset, line management changes and re-instating the employee’s on the People Management systems
Experience
Essential
- Excellent customer service skills
- Working knowledge of payroll
- Experience in payroll administration processes and good knowledge of the civil service pension scheme
- Current knowledge of HMRC legislation and other pay and tax related regulations
- Ability to prioritise changing work demands
- Effective and clear communications using a range of media
- Ability to multi task and work under pressure
- Proficiency in the use of standard Microsoft IT packages .
- Experience of using a HRIS self service system Payroll system
- A strong eye for detail and accuracy
Desirable
- Educated to degree level or equivalent and holds a CIPP qualification
This role requires clearance to BPSS.
